Access Your Student Account eBill
How do I log into Student Account eBill?
After logging into GWeb, click the Student Records and Registration link, then click the Student Accounts link. On the new page, click the Student Account eBill link.
How does my authorized user log into my online student account?
Once you have logged into Student Account eBill, you may authorize other users to view your account (see instructions below on authorizing other users in the new system). They will receive an email with instructions for accessing the system.
What are the system requirements for my online student account?
The site works best with Microsoft Internet Explorer 7.0 or higher, Mozilla Firefox 2.0 or higher, or Apple Safari 3.0 or higher. If using Internet Explorer 9, please click the Compatibility View button on the Address bar. Please see these instructions for how to enable Compatibility View. JavaScript must be enabled. Adobe Reader is required to view your statements.
Can I respond to the automated emails from my online student account (ebill@gwu.edu) to ask questions about my account?

View Your Account
How do I view my account balance?
After using GWeb to log into Student Account eBill, your current account balance will be displayed on the home page. Your account balance is also displayed in the “Make a Payment” section of the Payments tab.
How do I view my account activity?
After using GWeb to log into Student Account eBill, click on the recent account activity link on the home page to view your recent account activity. You can also view your recent account activity in the “Recent Account Activity” section of the eBills tab.
When do I get my bill?
GW begins issuing electronic Statements of Account (semester bills) in late-July for the fall semester and around early December for the spring semester. If balances are not paid in full the following month, another electronic Statement of Account will be generated that may include interest and a late payment fee if the charges are past due.
Where will the bill be sent?
Paper bills are no longer issued. Your statement can be viewed and printed from Student Account eBill once it has been issued. However, the student should fill out the Billing Address on GWeb to receive other mailings from GW.
How do I view my statement?
After using GWeb to log into Student Account eBill, in the eBills tab, click the View Current Billing Statement PDF link. You may also access your statement from the eBills tab on the home page.
What is the Voluntary Library Gift?
The voluntary library gift is an item on your account by which you have the option to donate a tax deductible gift to your GW library through your student account. If you choose not to donate, you or your authorized user(s) may decline the library gift using your Student Account eBill.
Authorize Access for Additional Users
My parents are paying the bill, why don’t they have access?
The Family Educational Rights and Privacy Act (FERPA) of 1974, last amended on July 1, 2003, protects the privacy of student education records. The law applies to all schools that receive funds under an applicable program of the U.S. Department of Education. This law gives control of access to a student’s education records, including their academic and financial records, to the student. You must grant your parent(s) or other authorized user(s) access before they can see your records.
How do I authorize another user to view my account and/or make a payment?
After using GWeb to log into Student Account eBill, select the Authorized Users tab, then click the “Add an Authorized User” button. In the next page, enter the email address of the authorized user in the appropriate field, select the necessary radio buttons to grant the desired level of access, and then click the “Add User” button. On the next page, read the terms of agreement and check the “I Agree” box, then click the “Continue” button. The authorized user will receive two emails: one includes the username for the authorized user and the URL to log in while the other includes the user’s initial password. (Note that if you allow the person to view your payment history, the person will be able to see all payments made to that account, not just those made by that user.)
How do I edit or delete an authorized user?
After using GWeb to log into Student Account eBill, select the Authorized Users tab. To delete an authorized user, click the red X icon next to that user. To edit an authorized user, click the pencil icon next to that user. In the next page, update the level of access granted to the authorized user as needed, and then click the “Update User” button. If you want to change the email address associated with an authorized user, you will need to set up a new authorized user. The user will still be able to see all of your payment history if you allow the user that access.
Can a user be authorized for multiple students?
Yes. Each student must authorize the user’s access to his/her account. Then, after the authorized user logs into your online student account, he/she will be able to select the applicable student. The authorized user can also select a student, or make a payment for multiple students, from the “My Students” tab.
Make a Payment
When is payment due?
Full payment is due by the first day of the semester or upon registration, whichever is later. The due date will be printed on your Statement of Account. Payments made after the due date are subject to late fees and a finance charge. Click here for the full Disclosure Statement.
What types of payments are accepted to pay for the student account?
GW accepts payments in the form of cash, personal check, money order, wire transfer, cashier's check and traveler's check. Tuition is due by the first day of the semester and can be paid online 24 hours a day.
Students may also mail a check or pay in person at Colonial Central. There is a drop box outside of the Cashier's Office at Colonial Central located on the ground floor of the Marvin Center for in-person after-hours payments.
Students may also enroll in the GW Monthly Payment Plan. (see below)
How do I make an online payment?
After using GWeb to log into Student Account eBill, click the Make a Payment link on the home page, or select the Payments tab, then click the Pay link next to your current balance. In the next page, select your payment method then click the “Go” button. (Note: If you have previously set up a payment profile you will be able to select it as your payment method and will be able to schedule the payment for a future date (see below). If you have not set up a payment profile, you will be able to during Step 2 of making your payment.) In Step 2: Payment Options, select the semester and year to which you want your payment applied. If necessary, enter your bank account information, saving the account for refunds or future payments as applicable. On the next webpage, enter the amount of your payment and any desired memo, then click the “Continue” button (Note that all accounts must draw US funds from US banks). On the next webpage, confirm that all account information is correct then click the “Submit Payment” button. You may wish to print the following screen for your records.
How do I schedule a payment for a future date?
After setting up a payment profile in Student Account eBill, you can schedule a payment for a future date. While completing Step 2 of the payment process, select the payment date when you would like the payment to be made. You will receive an email 2 days before your scheduled payment date to remind you that the funds will be deducted from your account on the selected date.
How do I change or delete a payment scheduled for a future date?
To delete a scheduled future payment, after using GWeb to log into Student Account eBill, select the Payments tab: scheduled payments will appear in the “Pending Payments” section of the page. Click the Delete link to delete the scheduled payment or, to edit the scheduled payment, click the Edit link, update the terms of the payment as needed in the new page, then click the “Save” button.
How do I save a payment method?
After using GWeb to log into your online student account, select the My Profiles tab then click the Payment Profile link. In the Payment Profile webpage, select a payment type from the drop-down menu, then click the “Go” button. In the next page, enter a name for your payment profile in the “Account Nickname” field, then enter your bank account information as needed (Note that all accounts must draw US funds from US banks). If you would like to have refunds automatically debited to the saved account, check the “Refund Option” checkbox. After entering all fields, click the “Save” button. On the next page, read the terms of agreement and check the “I Agree” checkbox, then click the “Continue” button to save the payment method. You may have multiple payment profiles. However you may only have one profile for electronic refunds.
How do I change or delete a saved payment method?
After using GWeb to log into Student Account eBill, select the My Profiles tab then click the Payment Profile link. To delete a saved payment profile, click the red X icon next to that profile. To edit a saved payment profile, click the Pencil icon next to that profile. In the next page, update any values as needed, then click the “Save” button. (Note: To change the account type, routing number, or account number associated with a profile method, you will need to delete the old profile method and create a new one.)
How do I view my payment history?
After using GWeb to log into Student Account eBill, select the Payments tab, and then click the Payment History link. In the next page, select the radio buttons for the history you would like to view, specify the date range you would like to view, if applicable, and then click the “View Payment History” button.
Can I pay by credit card?
The University does not accept credit card payments for main campus charges. Since we receive many requests from parents and students, however, we have made arrangements with ECSI Services for credit card servicing. Many of you already know ECSI because they administer GW's monthly payment plan. You may call ECSI at (866) 927-1438 to charge your Main Campus tuition and/or fees over the phone. Please note that ECSI will charge you a convenience fee for this service. You can use the same telephone number to enroll in the ECSI , interest-free, Monthly Payment Plan instead. We will continue to accept credit card payments for off campus locations. Please note that ECSI does not forward payment to GW until 21 days after your transaction.
What is the GW Monthly Payment Plan?
The GW Monthly Payment Plan is a plan that allows you to pay fall and spring semester charges over 5 months. The plan is administered by ECSI and begins in June each year for the fall semester and November for the spring semester. There is an annual fee to sign up, but no interest or late fees if your payments are made on time and fully cover the semester charges. Click here for more information.
What happens if I am eligible for financial aid?
Authorized aid will be deducted from your balance on your Statement of Account (semester bill). Pending aid will appear but will not be subtracted from your balance. You may subtract the amount of pending aid from your total charges to determine the amount of your balance for which you are responsible. However, you will be responsible for any estimated aid that is not ultimately received.
Other Semester Costs
What is the Voluntary Library Gift?
The voluntary library gift is an item on your account by which you have the option to donate a tax deductible gift to your GW library through your student account. If you choose not to donate, you or your authorized user may decline the library gift using your online student account.
Are there costs if the student changes their class schedule?
Tuition is fully refunded for classes dropped prior to the first day of the semester. Late registration fees are assessed for schedule changes after the start of the semester. Courses dropped on or after the first day of the semester are subject to the following refund schedules, which govern the prorated cancellation of semester tuition charges in cases of program adjustment or withdrawal. See the University Bulletin under “Fees and Financial Regulations”, “Withdrawals and Refunds” for more information on the refund schedule.
For classes taken on the main campus during fall and spring semesters: On or before the end of the 1st week of classes 90% credit On or before the end of the 2nd week of classes 60% credit On or before the end of the 3rd week of classes 40% credit On or before the end of the 4th week of classes 25% credit After the end of the 4th week of classes NO REFUND
What is the Student Association fee?
The Student Association Fee is a mandatory fee charged to all students registered for courses on the main campus. The current rate is $1.50 per credit hour to a maximum of $22.50 per semester.
Are there any penalties for paying late?
The University Fee assesses a FINANCE CHARGE at 12% APR on past due balances. The University assesses a $75 late payment fee in the fall and spring semesters when an outstanding balance is carried into the second billing cycle of the semester. In addition, a financial hold will be placed on all unpaid accounts with balances over $500. The hold will affect your ability to register for classes for the following semester and access official transcripts.
How can I obtain an official receipt?
You can print a confirmation of your online payment in your online student account. If you pay by check at the Cashier’s Office, your cancelled check will serve as your proof of payment. Official receipts are issued and sent by request only. You may call the Cashier's Office at 202-994-6200 and request an official receipt.
What is GW's policy for returned checks?
If your check is unpaid by the bank for any reason, you will be charged a returned check fee of $35.00, in addition to the original check amount. Subsequent payments will only be accepted in the form of cashier's check, money order, traveler's check or cash, unless otherwise advised. There will be a financial hold placed on the account immediately, and any future semester registrations cancelled or restricted until the check is paid.
What is Colonial Cash?
Colonial Cash is a declining balance, flexible spending program featuring both dining and retail options available on and off campus. The balance is loaded onto the GWorld card. This program includes purchasing power for a number of University services such as the GW Bookstore, campus laundry facilities, vending machines, copy and mail services as well as a host of neighborhood dining options and services such as dry cleaners, pharmacies, and others.
What Is the Health Insurance Fee?
The University requires that Medical, Nursing and Health Science students and International students holding a F1 and J1 visa have insurance coverage. Students in this groups will be automatically enrolled in the George Washington Health Insurance Plan (SHIP). Students with insurance coverage that meet some criteria can opt out by going to www.aetnastudenthealth.com and completing the Medical Plan Waiver.
For Students being billed for medical insurance, there will be two charges. A fall semester installment of $837.50, and a spring semester installment of $1,361.50.
Refunds
How do I request a refund of my credit balance?
If a credit appears on your account, you may fill out a Refund Request Form at the Cashier's or Student Accounts Offices. In the instance where your account was deliberately overpaid, the overpayment will be sent back to the source of the funds. This includes payments from foreign sources. International students should not have additional money over and above the amount owed on their student account sent to the university. The university is unable to act as a bank or third party to distribute funds. Please allow at least 14 (fourteen) business days to receive a refund. You can also have the credit balance transferred to the GWorld card for Colonial Cash.
How do I set up an account so that my refund will be deposited electronically to a savings or checking account with a United States Bank routing number?
After setting up a payment profile for an account that you would like to use for your electronic refund profile in Student Account eBill, select the My Profiles tab then click the Payment Profile link. Click the pencil icon next to the profile to use for refunds then, in the new page, check the “Refund Option” checkbox, then click the “Save” button. The profile used for refunds will have a green check icon in the “Use for Refunds” column. You must set up your electronic refund profile as a payment profile. Authorized users cannot set up refund profiles in your online student account.
How do I remove my electronic refund profile?
To remove an electronic refund profile, after using GWeb to log into Student Account eBill, select the My Profiles tab then click the Payment Profile link. Click the pencil icon next to the profile used for refunds then, in the new page, uncheck the “Refund Option” checkbox, then click the “Save” button. The profile should no longer have a green Check icon in the “Use for Refunds” column.
How do I view my online refund history?
After using GWeb to log into Student Account eBill, select the “Refunds” tab and then click the Refund History link. In the next page, select the radio buttons for the history you would like to view, specify the date range you would like to view, if applicable, then click the “View Refund History” button.
1098-Ts
When will the 1098-Ts be mailed?
The George Washington University has contracted with Educational Computer Systems, Inc. (ECSI) to print and mail the 1098-Ts. The 1098-Ts will be printed and mailed by January 31, 2013. Please allow enough time for the mail to arrive before requesting another copy.
How can I get a copy of my 1098-T?
Call ECSI's toll free number at 866-428-1098 or visit their web site.
How can I get a 1098-T if the University does not have my Social Security Number on file?
If you never gave the George Washington University your Social Security Number or your address is no longer valid, you will get sent an email request to complete a W9S form. Completing the W9S you will still receive a copy of you 1098-T. You can access a copy of the W9S-form online. What if I’m an International Student and don’t have a Social Security Number? If you do not have a Social Security Number or are not authorized to have one, then you do not have to complete the W9-S form. However, 1098-T form may not be generated for you.
